Hybrid batch CoA snapshots, governed supplier PDF ingestion with human review, and cryptographically signed release PDFs on Novaqis LIMS — layout masters controlled in Novaqis DMS
Finished-product and batch release teams still lose days reconciling supplier certificates, re-keying analytical tables, and chasing Word-based CoA layouts that drift from approved specifications. Novaqis LIMS batch CoA execution binds each release to a frozen batch snapshot, pulls customer-facing layout from Novaqis DMS documents flagged as LIMS CoA-eligible, ingests supplier PDFs through governed OCR with mandatory human review for low-confidence fields, evaluates results against approved limits, and issues signed release PDFs with immutable ALCOA+ history — without per-analyst seat taxes.

Technical Architecture
Each capability is built directly into our shared regulatory fabric, eliminating integration glue and validation rework.
Marketing and QA control the customer-facing CoA shell in Novaqis DMS. Documents initiated or maintained as LIMS CoA-eligible carry the approved layout binding LIMS uses at execution time — so template changes follow document control, not ad hoc desktop files.
Each batch CoA run opens on an immutable snapshot tied to the sample or batch context: approved template rules, specification links, and field execution state stay version-locked through review and approval — supporting inspection narratives on what was released and when.
Upload supplier or contract-lab certificates; extraction runs through governed OCR with parameter matching to LIMS fields. Analysts review confidence scores, correct exceptions, and apply results under e-sign — low-confidence values do not silently post to the batch record.
Captured analytical values flow into batch evaluation against approved limits with pass/fail and disposition context on the snapshot — reducing spreadsheet side calculations that fall outside the audit trail.
Approved batch CoAs compile to signed PDFs suitable for customer and QP packets. Supplier source PDFs remain linked in the ingestion log for traceability during investigations and mock audits.
QC supervisors open in-flight batch CoAs from sample records, batch release detail, or an in-flight CoA worklist — opening or initializing the correct snapshot without hunting folder paths.
Compliance & control
Audit trails, electronic signatures, role-based access, and deployment choices designed for GxP validation, not bolted on after the fact.
Supplier extraction requires analyst review; low-confidence fields are blocked until disposition.
CoA shells live in DMS with LIMS CoA-eligible tagging; LIMS consumes approved effective versions.
Released batch CoA state is preserved for data-integrity and batch-release investigations.
Release artifacts support QP and customer packets with cryptographic signing options in validated deployments.
Enterprise Outcomes
Measured operational breakthroughs across quality, manufacturing, and regulatory compliance.
Shorter batch CoA cycle time with fewer manual re-keys from supplier PDFs
Layout and specification changes governed through DMS and LIMS templates — not desktop drift
Inspection-ready ALCOA+ history from OCR ingest through human review to signed release
Unified Novaqis stack: DMS layout eligibility, LIMS execution, optional QMS escalation paths
