How to evaluate a pharma DMS

Start with how you work—not a feature matrix
List the documents that matter on the floor: SOPs, batch-related instructions, forms, and what must be printed or viewed under control. Ask every shortlisted system to show those paths live—not only slides. If the demo cannot follow your wording, the implementation will fight your SOPs later.
Deployment and data residency
Decide early whether the system must run on your servers or private cloud. Many Indian plants need residency under their own governance. Ask where data lives day to day, how licenses activate offline, and what happens when the internet is limited.
Electronic records themes—not empty claims
Look for meaningful electronic signatures, clear audit trails, and segregation of duties you can explain to inspectors. Ask vendors to walk one document from draft through approval, effective use, and retirement—with the trail open beside the screen.
Controlled copies and training
Printing and secure viewing often fail audits when issuance is informal. Ask how copy numbers, recall, and training readiness connect. Document control that ignores who read the effective version leaves a gap quality teams feel at inspection.
Total cost as you grow
Model headcount and plant growth for five years. Seat fees, plant fees, Word licenses, and high annual maintenance can outweigh a lower sticker on day one.
