TCO pitfalls in pharma software: seats, plants, Word, and AMC
Where total cost of ownership hides in GxP software evaluations—and how to compare commercial models without published list prices.
Day-one price is not the whole story
A quote that looks calm for fifty users can explode when quality, manufacturing, and contractors join. Plant fees stack when you add a second site. Annual maintenance bands differ widely. Model growth—or you will renegotiate under pressure.
Seat taxes
Per-user licenses punish collaboration. Training and quality work need broad access. Prefer models that include unlimited users so you are not rationing logins.
Plant taxes
Per-site charges discourage honest multi-plant rollouts. If your commercial model adds a line item per plant, expansion becomes a budget event instead of a quality win.
Word and shadow tools
If authors still need desktop Word seats for everyday controlled authoring, that cost belongs in the TCO sheet. Built-in editors can remove a quiet but real spend.
AMC as a long lease
Annual maintenance compounds for a decade. Ask for comparable bands against the quotes you already have. Relative positioning matters more than a brochure number.
